CVWC Reporting GPT Privacy Policy

Scope

This policy applies to the CVWC Reporting GPT integration used for internal reporting by Chippewa Valley Wedding Crashers.

Information processed

Depending on the report requested, the integration may retrieve financial figures, account names, reporting dates and identifying details included in QuickBooks reports. SMPL records may provide related booking or payment information.

Purpose

Information is used to prepare internal reports, compare business activity across systems and identify items requiring review.

Service providers

Retrieved information is transmitted to ChatGPT for processing. QuickBooks and SMPL provide the source records. Each provider’s applicable terms, privacy policies and account settings govern its handling of information.

Storage and retention

Retrieved information may appear in chat history or saved reports. Retention depends on the services used, account settings and any copies saved by authorized users. Disconnecting the integration does not automatically delete previously retrieved information or saved reports.

Access and disconnection

Access is intended for authorized CVWC users. The connected QuickBooks account administrator can revoke the integration’s authorization. Previously created copies must be managed separately in the services where they are stored.
